9. Virtual assistant with artificial intelligence

When you use the website assistant, Velvet Ritual processes the text you enter, a limited history of recent exchanges, the language and a pseudonymous technical identifier. We use this information to answer enquiries, recommend rituals, explain our services and, only when you request it, collect the minimum details needed to check availability and prepare a booking, rescheduling or cancellation request.

Free-text enquiries that cannot be answered from verified local information may be sent to the OpenAI API. Artificial intelligence helps interpret your request and maintain conversational context, but it does not write directly to the diary or treat an operation as completed. When an action may change an appointment, the assistant shows you a summary and asks for your express confirmation. Only then does a separate deterministic system check the linked identity and channel, therapist, time, room and other resources and, depending on the request, may create a temporary hold, confirm a new appointment, reschedule it or cancel it. The assistant reports success only after that system returns a verifiable result; if the result is uncertain, the operation is sent for review and is not presented as completed. API requests use store:false; under OpenAI's standard controls, prompts, replies and related metadata may still be retained in abuse-monitoring logs for up to 30 days, unless longer retention is legally required. OpenAI does not use API data to train its models by default unless the customer explicitly opts in.

The website keeps a short transcript in the current browser session so that minimising or navigating does not immediately erase the conversation. If you continue through WhatsApp or Telegram, messages are also processed under that provider's terms; Velvet Ritual may keep a short pseudonymised continuity record and the booking, contact-binding and delivery records needed to provide the requested service. If you ask for personal assistance, the automated assistant is paused for that conversation and the messages needed to handle the case are stored encrypted and made available to the authorised team until it is closed. For an in-page conversation, the browser receives a random access capability whose original value is not stored on the server. A Web human conversation with no customer activity for 24 hours is closed automatically. Encrypted messages and case data are deleted once the closed case is more than 30 days old; integrity audit records and terminal operation receipts may be retained for up to 90 days. Exact access instructions are disclosed only through the verified linked channel and within the permitted arrival window for a confirmed appointment. Do not enter payment details, medical information, information about your sex life or other unnecessary sensitive data.

The optional aggregate learning module is not active in the current release. Only if it is enabled in a later reviewed release may Velvet Ritual record a limited set of categorical milestones such as a conversation starting, a recommendation being shown, an availability check or a booking outcome. This measurement would not contain message text, names, phone numbers, Telegram identifiers, notes or access instructions; conversation and event identifiers would be replaced with independent HMAC pseudonyms before storage. These events would expire after the configured retention period (90 days by default) and would be reviewed only in aggregate. They could produce a proposal for human review, but would never change prompts, prices, services or booking rules automatically.
